The Beginners Guide to Event Translation Services

Whether you’re planning conferences, meetings, or corporate events, “The Beginners Guide to Event Translation Services” is designed to help you hire event translators confidently, so you can ensure a seamless multi-lingual event for your clients.

Why Hire Event Translators or Interpreters?

Let’s start at the beginning – why should you choose to hire event translators or interpreters?  Language is only as powerful as the listener’s ability to understand it, and in today’s global economy, we’re regularly connecting across international and cultural borders.  Therefore, effective communication requires us to consider the language skills of our audiences.

Language can include or exclude.  When an organization implements a plan to address language differences, it provides more than access to the event content.  It also communicates that the organization values its people – employees, stakeholders, and attendees – and their opinions.

How Does Event Translation Services Work (Just the Basics)?

Live events happen quickly, and translation services don’t need to slow you down.  Simultaneous interpreting (aka simultaneous translation) combines highly specialized human interpreters and today’s leading A/V technology to provide translation services in real time.  In the simplest terms, it means your audience will be able to listen to your client’s live presentation in their native languages in real-time.

While the details and configuration can vary greatly depending on the needs of your event, here is a basic overview of how simultaneous interpreting services can work.

  1. The presenter speaks into a microphone from the stage, which transmits the audio feed of his or her presentation into the interpreters’ headphones.

  2. The interpreters are situated either in a booth or a separate room, where distractions can be minimized. The interpreters listen through their headphones and translate into their own microphones – at the same time.

  3. The translation feed is transmitted to the event attendees who wear headsets, so they can be fully engaged with the speaker.

What Other Details Do I Need to Consider?

Professional translation services have many options that can be tailored to address your needs, which means there are many details to consider when preparing for your special event.  Here are a just a few of the factors that you should discuss with your professional translation service provider.

  1. Number of attendees needing translation services

  2. How many languages you’ll be accommodating

  3. Location and size of your event space

  4. Length of your event

  5. Format of your event

  6. Available space for the interpreters and their equipment

  7. Security and privacy issues related to the information being shared

When performing simultaneous interpretations, a minimum of two interpreters will be required for each language.  Real-time translation is a demanding task, so the interpreters take turns to battle against fatigue and maintain quality interpretation.
